Representative Candace B. Hays Absent 1 - Board Member Krista Valentage Also Present - Christopher Hubbard — Cultural Affairs Specialist, Patricia O. Sullivan — Board Reporter 1. Call To Order The Chair called the meeting to order at 4:00 p.m. at the Long Center. 2. Approval of Minutes 2.1 Approval of Minutes of January 22, 2015 Member Gourdine moved to approve the minutes of the January 22, 2015 Sister Cities Advisory Board meeting as submitted in written summation. The motion was duly seconded and carried unanimously. 3. Citizens to be Heard Regarding Items Not on the Agenda: None 4. New Business Items 4.1 55th Anniversary Clearwater visit to Nagano The City of Clearwater, City Council, and Clearwater Sister Cities, Inc. were complimented for their efforts during the Nagano delegation's visit to Clearwater. Recreation Specialist Christopher Hubbard said staff is looking for hotels in Japan that are conveniently located and reasonably priced. It was noted that delegates can request home stays in Nagano. Mr. Hubbard reviewed the delegation itinerary. 1) Wednesday, October 21, 2015—Arrive Osaka City (Kansai Airport). Kyoto hotel (2 nights); 2) Thursday, October 22— Tour Kyoto, 3) Friday, October 23— Travel to and tour Kanazawa. Kanazawa hotel (1 night), 4) Saturday, October 24 — Travel to Nagano City via Hokuriku Shinkansen. Official welcome ceremony. Nagano City hotel (3 nights), 5) Sunday, October 25— Visit Zenkoji Temple, city attractions, and countryside life; 6) Monday, October 26— Welcome ceremony at City Hall. Casual chats with Mayor and City Council Chair. Welcome presentation, 7) Tuesday, October 27 — Visit facilities with ties to health and longevity. Dinner party. Matsushiro manor(1 night), 8) Wednesday, October 28— Visit city elementary and middle schools and city promotion meeting. Travel to Tokyo. Tokyo hotel (2 nights), 9) Thursday, October 29— Tour Tokyo, and 10) Friday, October 30— Depart Page 2 City of Clearwater Sister Cities Advisory Board Meeting Minutes Tokyo (Narita Airport). April 23, 2015 It was stated that total airfare costs approximate $1,500. Mr. Hubbard requested that delegates contact Felicia Leonard with questions. Approximately 28 have signed up for the trip. A budget will be available once hotels are booked; rates range from low $300s to $500 /night per room. It was stated October's board meeting conflicts with the delegation's trip. Member Gourdine moved to reschedule the October 22 Sister Cities Board meeting to September 24, 2015. The motion was duly seconded and carried unanimously. 5. Director's Report: None. 6. Committee Members to be Heard 7. Adjourn Member Dilday said after the July meeting she will resign her seat; she will spend her high school senior year in Italy. (The City Clerk will accept applications for the Sister Cities Board Youth Representative Seat through August 17, 2015.) Board Member /CSCI Clearwater Sister Cities, Inc. Representative Candy Hays reviewed CSCI activities. She said the annual CSCI meeting was held last Monday. She said CSCI is raising money for scholarships and the CSCI organization at the International Bazaar at the Main Library. She said 10 applicants (8 8th graders, 2 6th graders) have been interviewed and accepted for this summer's Young Ambassadors trip to Japan. She said chaperones were chosen from many applicants. She said orientation was underway and participants were engaged in fundraising activities. Mr. Hubbard said the Japanese display was moved to the rear of the Main Library during installation of RFID (Radio Frequency Identification) gates. The display will be returned to the entryway if space is sufficient. The kimono was moved to the meeting room.
