One envelope icon and One(or more) PDF icon. Snapshot both the Email message and attachment(s) to create TIF Images. Delete Electronic Files for Email message and attachment(s). Drag the Attachment(s) onto the email. It will ask where to add the pages, choose after last page. Next it will say that the original attachment document is empty, would you like to delete it? Choose Yes. Now the email and attachment(s) with be combined into I document. For MuniAgenda agendas — Snapshot then delete electronic files. To fix the emails in LF now... Make new LF folder Make desktop folder Drag email out into the new dt folder Start at step 1 Notes: "pages" indicate item has a TIFF already made therefore native item can be removed via Action menu, Delete electronic file. The envelope icon (or PDF or whatever) AND pages means Delete electronic files can and should be done (to save space). That will turn the icon to green (TIFF). Non-viewable issue on Intranet because items need to be snapshot and then there electronic files deleted (to save space). Customize Search, then select radio button: Find electronic documents... This found 16,000+ electronic documents are in the repos. now. Many are already be snapshot (have "pages"), the rest do not. The rest should be snapshot then all could have their electronic does deleted. 1 - C-Tracs emails, follow above steps. 2 - Other emails, open to check for attachments: If yes, follow above steps, otherwise snapshot and "delete electronic files"right away. 3 - Other document (word, pdf, xls, ppt, etc) snapshot.
