A. Event Description and purpose: Pinellas Youth Svmohony will present an
afternoon of concerts featuring each of the 7 be inning through

PROPOSED EVENT MARKETING PLAN
Marketing for the "Pinellas Youth Symphony Fun 'n Sun Concert" will be
extensive and citizens of Clearwater and special constituencies (children, minorities and
seniors) will be specifically targeted. A media guide provided by the Pinellas County
Arts Council is utilized as a primary source for publicity; as for past events, press releases
for the concert event will be sent to daily and non-daily newspapers, and magazines, as
well as public service announcements to appropriate broadcast and cable TV and radio
stations. A PYS newsletter sent to a substantial mailing list of current and former
members, contributors, and public and private school music teachers will also contain an
announcement and details of the event. Concert flyers and/or posters will be placed in
public locations such as Clearwater and other Pinellas County libraries, and stores
windows where permitted. Concert flyers will be sent to retirement communities in the
zip code areas within a substantial radius of Coachman Park where the concert will take
place and to youth organizations and child-oriented institutions throughout the county,
such as museums, scout groups, and churches with youth groups, will also receive
information. PYS also anticipates that, since the event will occur in conjunction with the
Clearwater Fun n'Sun Festival, that the PYS event information will be included in
promotional materials put out by the City of Clearwater.
The Board of Directors Publicity and Audience Development Committee will be
responsible for implementing this plan, and it is therefore anticipated that the services for
the above will be provided almost entirely by volunteers.

GENERAL INSTRUCTIONS
1. Applications must be filed at least 15 days prior to event but not more than one year. Per Chapter
116,City of Clearwater Code of Ordinances, the 15 day period for City Manager review does not begin
until the completed application with Certificate of Insurance ATTACHED has been submitted. (See
insurance requirement below).
2. Insurance: If the event involves more than 50 persons or vehicles, the City requires the applicant or
the organization he/she represents. to have a liability insurance policy with limits of at least $500,000.
Applicant must attach a Certificate of Insurance, covering all activities performed in accordance with
this special event and listing the City of Clearwater as an -additional insured." Proof of insurance
coverage in proper form must be submitted prior to date of the event. The City of Clearwater
reserves the right to request to copy of the entire policy of insuraDce.

Robert Romanski - Position: Eighth year as Senior Orchestra Conductor and Artistic Director of Pinellas
Youth Symphony. Education: B.A. in Music Education and Applied Music (Trumpet) and M.M. in
Conducting from the University of South Florida. Work History: Has conducted or guest conducted The
Florida Orchestra, The Mostly Pops Orchestra of the University of Tampa, the Florida West Coast
Symphony, the Southwest Florida Symphony Orchestra, the Tampa Ballet, Spanish Lyric Theatre of Tampa,
the Gasparilla Festival of Tampa. He has also performed with numerous bands and orchestras in Florida,
including The Florida Orchestra for 14 years. Job Description: In addition to serving as Conductor of the
Senior Orchestra (see section 5.), his administrative responsibilities include the recruiting and hiring of Artistic
Staff; close consultation and collaboration with the Artistic Staff to develop programming, and to determine
educational and musical objectives for their respective groups as they relate to the entire PYS structure;
supervision of auditions and orchestra seating; develop guidelines for student recruitment; work with the
Board of Directors and Managing Director to develop financial support for the program and to fulfill grant
requirements; act as an emissary for the Pine lIas Youth Symphony in the arts community and community at
large; and otherwise carry out the mission of the Pinellas Youth Symphony within budgetary constraints.
Elizabeth Romanov - Position: In second year as Managing Director. Education: A.A. with concentrations
in Business and Education from St. Petersburg Junior College. Work History: Previous positions included
supervisor for automated payroll service for Connecticut Bank and Trust including training, scheduling,
employee reviews and maintaining consistently accurate work; required knowledge and understanding of
payroll taxes and systems. Staffing, scheduling and ordering for Benihana of Tokyo in Farmington,
Connecticut. Member of pre-management team for Murasaki Japanese Restaurant including record keeping,
interviewing for staff positions, training office staff; since relocating to Florida in 1991 she has continued as
bookkeeper, including payroll, preparation of sales, state and federal tax reports, bank reconciliation and
general consulting. Active member of the Pinellas Youth Symphony Board of Directors for three years;
served as V.P. of Operations for 1995/96 season, and also served on numerous committees, including
nominating, budget, grant, social and personnel committees, Education Advocacy subcommittee, and recently
the Florida Orchestra Education Committee. Job Description: Coordinates the day-to-day production and
logistical aspects of auditions, rehearsals, and performances, including acquisition of space; arrangement of
performance opportunities; preparation of master calendar of activities; acquisition of music; maintains student
rosters and records and accounts; maintains other important documents; preparing or arranging for publication
and printing of materials, such as handbooks, brochures, newsletters, flyers, concert programs; maintains
correspondence for program related matters; facilitates communication among students, parents, volunteers,
Artistic Staff, Artistic Director and Board members; acts as a liaison between the Pinellas Youth Symphony,
other cultural organizations and the community at large. The Managing Director is expected to carry out these
responsibilities in coordination with the Artistic Director and Board of Directors and within budgetary limits.

Dear Members of the Grant Review Panel:
The Board of Directors of the Pinellas Youth Symphony, Inc., a non-profit
organization, voted at its March 16, 1998 meeting to apply for a grant from the City of
Clearwater to hold a special concert event in Clearwater at Coachman Park during its
1998/99 season, and to budget for the necessary matching funds for a grant from the
City of Clearwater fo~ this event.
The Board members believe that this will be a wonderful opportunity for our more
than 250 student musicians to give a concert in an outdoor venue, which will be
conducive to a family atmosphere, but attractive to people of all ages and ethnic groups.
We thank the City of Clearwater for giving us the chance to apply for a grant for
this event.
