We remain excited at the prospect of working with you on the enhancements to the Cafe Area of the Clearwater Main Library. We have revised some items to lessen site visits and to allow presentations to be "informal" while still relaying the same quality of information. We have assigned the following hours to the project proposal: Bret Azzarelli AlA, Architectural Interface Leesa Nero, ASID Lead Interior Designer Interior Design Assistant 6 hours 55 Hours 65 Hours PROJECT UNDERSTANDING It is our understanding that the project is to evaluate the existing cafe and atrium space and propose design of new furnishings, fixtures and enhanced lighting that will give the existing cafe varied types of seating arrangements to allow for use by more library visitors. The project also will involve review and assessment of the acoustical and visual challenges of the atrium space. These will be reviewed to evaluate options for possibly creating a more intimate feeling in portions of the cafe while honoring the original design of the atrium space. Electrical additions to support additional locations for visitors to utilize laptops and other devices are desired. Library administration has directed that there shall be no disturbance or demolition of completed finishes in the library. One site visit to assess design of existing atrium cafe 2. Preparation of overall concepts for the layout of all areas of the atrium cafe indication seating, lighting and direction possible to enhance the visual and acoustical experience of the space 3. Informal Presentation of concepts to library administration for review and input. 4. Refinement of concepts into construction documents outlining design of specific fixtures and acoustical/visual enhancements and or specification of furnishings and lighting required to be constructed or purchased to realize the design 5. Informal presentation of completed construction documents to library administration for review. This agreement limited to one revision to the construction documents and specifications for furniture. Construction documents will be prepared in a format suitable for bidding and construction. 6. Two construction observation site visits to visit facilities where fixtures may be being fabricated or visit to library during any construction activities or during installation. Our understanding is The City and The Library has a budget for the above services. To best serve your needs Elements will review this budget and align design and furniture selections to this to ensure the proposed design will be realized within your budget. DESIGN FEE The design fee for the above listed work is as follows: . Design concepts for project . Construction documents and specifications for items to be purchased . Construction Observation . TOTAL FEE $ 11,970.00 These fees will be billed monthly aligned with percentage of project completed. E~EMENTS ARCHITECTS. INTERIOR DESIGNERS March 6, 2006 Ms. Barbara Pickell Re: Revised #2 - Fee proposal for Cafe Page 3 CONSTRUCTION OBSERVA TION Two construction observation site visits will be provided as delineated above within the "basic services" fees listed below. These visits may be to location where furniture is being fabricated or visit to library during any construction activities or during installation. It is, however, understood that Elements shall not be in charge of or be responsible for the Contractor's methods of construction, construction forces and equipment, construction progress, Contractor's safety procedures or information as to the status of the Contractor's payment of his bills for labor and/or materials used on the Project. Construction Observations does include the review of shop drawing submittals that pertain to interior finishes, lighting and fixtures only. SCHEDULE Elements Architects and Interior Designers will complete tasks #1 through task #5 listed above within 6 weeks of obtaining a signed contract, work order or notice to proceed. REIMBURSABLE EXPENSES Reimbursable expenses refer to the actual expenses incurred directly or indirectly in connection with the Project for transportation mileage, copies, postage and shipping, courier service and reproduction of reports, drawings and specifications and will be billed at a rate of direct cost plus 10% and is additional to the contract amount above. Reimbursable expenses will not exceed $1,000.00 ADDITIONAL SERVICES Should the scope of work or project change appreciably or should the Owner request additional services outside the scope of this agreement, additional time and therefore additional compensation would be required. The fees for additional services shall be billed in accordance with the rates outlined as followings: Principal Architect = Principal Interior Designer = Senior Interior Designer = Interior Design assistant = Administrative = $ 155.00 per hour $ 140.00 per hour $ 120.00 per hour $ 70.00 per hour $ 50.00 per hour ELEMENTS ARCHITECTS. We understand The City will issue a work order or contract for our services. Acceptance of this letter will allow us to proceed while this documentation is being processed.
