Chairman William Donovan called the meeting to order at 9:30 a.m.
Mr. Wilson moved to accept the minutes of the February meeting as submitted.
The motion was secondud and carried.
Mr. Jim Davis, Reference Librarian, gave a brief history of the government
documents collection at Main Library. The government documents depository
program makes documents available free of charge for public access. The ,
requested holdings for a documents library is 10% of published items. Document
libraries are inspected every 5+ years. Documents are ordered front a list and
must be held a minimum of 5 years. After 5 years, items can be deselected,
then offered to all depository libraries in the region. If no interest is
received, items may then be discarded.
The Clearwater Public Library System has received new shelving. CO Rom
and computer for use with the documents collection. Clearwater is the only
depository library in this Congressional district. Gainesville is the regional
documents library.
Mr. Davis reviewed many publications in the documents collection for the
Board. Board members cornnentcd that high school students should be informed
of the availability of these materials. Mr. Davis will be contacting area
businesses informing them of materials of interest to them.
Mr. Hunt noted that Nr. Davis mode a personal donation to the Foundation
to purchase the computer used with the documents project. Mr. Dunn moved on
behalf of the Board to thank Jim Davis for his donation for the computer to
assist in the documents project. The motion was seconded and carried.
Mrs. Moore discussed the improvement~ and problems with the new telephone
system with automated attendant at Main Library. The new system has increased
staff time for walk-in patrons nnd improved internal communication and transfer
capability. Action Center calls have been routed to Main Library since March 10.
The neW phone system has a voice mail message system. Initially the Library
received ~any complaints from caliers not able to get through; however) on
installation error was discovered and 9 lines can now be accessed at once
instead of only 3. In response to Dr. Berry's concern that enough lines be
available to callers, Nrs. Moore stated that Btaff will continue to monitor
the system's accessibility by patrons.

Ht's. Hoare reviewed the menu options of the new phone system. Mr. Dunn
suggested a small card be printed with the menu options listed for easier
patron use.
Mr. Donovan appointed a Nominating Committee of Dr. Berry, loIre. '~atson,
and Mr. Hutchens to submit nominations for Chair nnd Vice Chair for the April
Board meeting.
Dr. Berry reported chat the Friends of the Library are honoring volunteers
today at a luncheon at Main Library. He announced the Annual Heeting and Spring
Luncheon at the Countryside Country Club on March 21. Mrs. Jan Rcgulski is
the new President of the Friends for one year.
Mr. Hunt reported a great turnout for author Jerry Spinelli's speaking
en8agem~nt with the Library on March 19. Mr. Hunt reminded the Board of author
Richard Peck's visit on April 10 oponsored by the Foundation nnd author Barbara
Tnylor Bradfdrd's engagement on April 5 sponsored by the Friends.
Mrs. Moore noted that the position of Library Director has been advertised
to date in the St. Petersburg Times, Library Hotline, and American Libraries
publications. Staff must apply for the position like other interested candidates.
Ms. Andersen announced the 1992 American Library Association Annual Conference
June 25 - July 2 in San Francisco, California.
The regularly scheduled Board meeting for April 17 has been changed to
April 10.
The meeting was adjourned at 10:45 a.m.
